We are excited to announce our second year of UW Medicine Well-Being Grants aimed at improving the workplace and learning environment for our community. This program is made possible thanks to a generous donation of $250,000 to support the well-being of our community. The grants will support impactful activities, programming, projects and/ or applied research that aligns with the goals of our well-being work.
Applications are open from October 29 – December 10, 2024.

On what criteria do grant applications get reviewed and selected?
Projects are reviewed based on alignment with well-being goals, quality of concept/idea, impact on the UW Medicine community, response to well-being data, and creativity (See defined criteria here). Your project should be based in one or more of the following:
- Community Building – strengthening connection, collaboration, gratitude, and appreciation across UW Medicine, while also fostering a culture of diversity, equity, and inclusion
- Enhanced Workflow – streamlining processes and communication channels to make the work easier for our teams
- Culture of Well-Being – fostering authentic leadership, supportive structures, personal and professional development, and ensuring physical and psychological safety, to integrate well-being into the core of who we are and how we operate
Who is on the Grants Review Committee?
A Grants Review Committee will review each application. The committee consists of members representing groups across UW Medicine.

When will I hear back about the status of my grant application?
You can expect to be notified in Spring 2025
Are there guidelines for how the funds can be spent?
Grant recipients are responsible for ensuring Well-Being Grant funds use is in compliance with UW policies but some general guidelines for the grants are as follows:
- Funds cannot be used as salary or compensation for UW employees
- Funds will be distributed through UW employees’ home units or departments, not to individuals
- Food purchases are acceptable if consistent with UW policies and guidelines (purchase of alcohol is never permitted)
- Funds should only be used toward what is specifically outlined in budget proposals
What kind of information will I need to provide around the planned budget for how our funds will be used?
In the application, you must provide a detailed budget proposal for how the funds will be used. This should include a description of matching funds and/or any additional funds to support your project as applicable. As examples – please include venue costs, items to be purchased, food costs (please follow UW per diem limits).
What WorkDay information do we need to provide before funds can be transferred?
Before we can transfer funds in WorkDay to grant recipients we will need the following information. We would like to collect this information as part of the grant application but can also work with applicants who need help identifying this information.
- Cost Center ID is required. (A Cost-Center ID has 8 total number of characters, with two letters followed by six numbers and is in this format: CC123456).
- Gift ID is recommended. (A Gift ID ID has 6 total number of characters, with two letters followed by six numbers and is in this format: GF123456).
- Other WorkDay worktags such as program or activity codes are optional.
What if we don't know if we have a Cost-Center available or our finances are managed through WorkDay?
If you are not aware of a Cost-Center available to be used for your proposed Well-Being project or are part of a team that doesn’t use WorkDay for finances please indicate that in your application and we will reach out to help you identify possible funds transfer options if you are selected as a grant recipient.
Can we use Well-Being Grant funds to purchase food?
Well-Being grant funds can be used to purchase food if purchases are consistent with UW policies and guidelines, including being within current per diem rates. Grant recipients are responsible for ensuring all purchases are compliant with these policies. Note that purchase of alcohol is never permitted using Well-Being grant funds.
How can teams manage purchasing or reimbursement needs for Well-Being Grant costs?
Grant recipients should plan to work with their individual unit’s or team’s finance personnel to manage purchasing and reimbursement. The Well-Being team cannot directly manage any purchasing or reimbursements.
By what date do we need to use Well-Being Grant funds?
You have until March 30, 2026 to implement and complete your project, including spending of all grant funds.
Will we need to report on our spending or Well-Being Grant project?
Yes, if you receive funding, you must complete a brief project report that will be shared with grant recipients before the deadline to use funds in March 2026.
Can we use funds to pay people?
Well-Being grant funds cannot be used towards individual UW employees compensation or salaries. Funds may be used to pay for external contractors (speakers, instructors) as well as group or team trainings or events but should not be used for individual employee trainings. Recipients should plan to work with their individual unit’s or team’s finance personnel to handle any payment or invoice needs.

2023 Grants
These grants were possible thanks to a generous donation of $250,000 to support the well-being of our community. Grants support impactful activities, programming, projects, and applied research that aligns with the goals of our well-being work aimed at improving the workplace and learning environment for our community.
Our grant review committee was so impressed with the creativity and thoughtfulness of the ideas we received. In total, we received 311 proposals from across UW Medicine. It was a humbling task to figure out how to spread the funding as broadly as possible to maximize the potential impact on our community. We had $1,032,500 in total requests – which is amazing given the $5000 maximum request per grant. We are thrilled to share the 202 full and partially funded grants for 2023 representing a 65% funding rate for the proposals we received.
